Meeting notes:
-
Dashboard Types and Use Cases: Jessica led a discussion on different types of dashboards, illustrating operational and oversight dashboards through user scenarios involving Sergeant Santos and Colonel Kirkpatrick, and explained how these dashboards support various user needs within the system.
- Operational Dashboards: Jessica described an operational dashboard used by Sergeant Santos in security services, highlighting features such as lists of visit requests, visitor access, badge issuance, and approval processes, all integrated into a single interactive dashboard to streamline daily tasks.
- Oversight Dashboards: Jessica presented Colonel Kirkpatrick's dashboard as an example of an oversight dashboard, which includes charts, KPIs, and reports to provide high-level visibility into task forces, attendance compliance, and personnel availability, with custom web resources developed by the Permuta team.
- Dashboard Components: Jessica explained that dashboards are composed of components such as lists, charts, and web resources, and emphasized the importance of configuring views and charts before adding them to dashboards to ensure relevant data is displayed.
- System vs. Personal Dashboards: Jessica clarified the distinction between system dashboards, which are configured for organization-wide use and require more advanced setup, and personal dashboards, which individual users can create and customize for their own workflows, noting the impact of security roles on data visibility.

-
Dashboard Creation Process and Best Practices: Jessica provided a step-by-step demonstration of building a personal dashboard for Master Sergeant Taylor, covering the selection of components, customization of views and charts, and layout adjustments, while sharing best practices for effective dashboard design.
- Identifying User Needs: Jessica emphasized starting with the end user's needs by identifying key questions the dashboard should answer, such as tracking personnel actions, departures, and pending tasks, and recommended sketching dashboard layouts before building them.
- Configuring Views and Charts: Jessica demonstrated how to create and customize system and personal views (e.g., personnel departing in 30 days) and how to build charts that visualize relevant data, explaining the relationship between selected views and the data displayed in charts.
- Adding and Arranging Components: Jessica walked through adding web resources, lists, and charts to the dashboard, explained how to locate and select web resources using display names, and showed how to adjust component sizes and rearrange layout for optimal visibility.
- Finalizing and Reviewing Dashboards: Jessica illustrated the process of saving, refreshing, and reviewing the completed dashboard, ensuring that all necessary data and actions are accessible in one place, and provided tips for troubleshooting display or data issues.
- Best Practices: Jessica summarized best practices, including focusing on actionable metrics, keeping dashboards simple, using meaningful visuals, creating role-based views, and regularly reviewing dashboards to ensure data accuracy and relevance.
-
AI Chatbot and Dashboard Capabilities: Jessica introduced the new AI-powered dashboard and chatbot features, explaining their integration with web resources, customization options, and current rollout status, and provided guidance on accessing and utilizing these capabilities.
- AI-Powered Dashboard Overview: Jessica described the AI-powered workforce insights and decision support dashboard, which offers personalized priorities, tasks, alerts, and real-time visibility, with an integrated chatbot for querying data and receiving recommendations.
- Customizing the AI Dashboard: Jessica explained how users can customize their AI dashboard by adding or removing modules and web resources, and demonstrated how the chatbot provides context-sensitive insights and troubleshooting assistance based on user interactions.
- Rollout and Access: Jessica clarified that the AI features are shipped in a disabled state by default, do not impact current workflows, and can be enabled upon request, with training and beta testing opportunities available for interested users.
- Integration with Existing Data: Jessica noted that the AI dashboard's effectiveness depends on the data available in the system, and that organizations with existing machine learning capabilities can integrate them with the Defense Ready platform for enhanced insights.
-
Troubleshooting and Support Resources: Jessica addressed common troubleshooting scenarios for dashboards, such as slow loading or missing data, and directed participants to support resources, documentation, and customer service contacts for further assistance.
- Troubleshooting Dashboard Issues: Jessica provided troubleshooting tips, including refreshing dashboards, checking recent activities, verifying data filters, and adjusting screen size to resolve display or data population problems.
- Support and Documentation: Jessica referenced support emails, platform update documentation, and quick guides, and encouraged participants to reach out to the service team or consult the Permuta Training Academy for additional help.
Follow-up tasks:
- Webinar Recording and Survey Distribution: Send an email to all participants including the meeting recording and the post-webinar survey for those who have not yet completed it. (Jessica)
-
Dashboard Drawing Example Sharing: Take a picture of the dashboard drawing and share it in the chat for participants to reference. (Jessica)
