Meeting notes:
-
Overview of Advanced Find in Defense Ready: Jessica provided an introduction to the Advanced Find feature in Defense Ready, clarifying its applicability to IaaS environments, outlining its core capabilities, and explaining the session's focus areas to all attendees including Allison and Karie.
- Applicability to IaaS and SaaS: Jessica clarified that the Advanced Find training is relevant for organizations using Defense Ready in an IaaS 9.1 environment, as SaaS environments have a different, built-in search mechanism. Attendees were advised to use 'Classic Advanced Find' terminology when searching for resources.
- Core Capabilities: Jessica explained that Advanced Find allows users to search, filter, and report on data across tables, create custom views, and export results, but does not support features like charts, dashboards, or web resources within the tool.
- Session Focus Areas: The session was structured to cover basics of Advanced Find, live scenarios, AND/OR logic, use of related tables, saving and sharing views, and exporting/reporting, with a Q&A segment supported by Allison and Karie.

-
Using Advanced Find for Security Investigations: Jessica demonstrated how to use Advanced Find to locate expiring security investigations, referencing scenarios for Major Matthews and highlighting the importance of selecting the correct tables and fields.
- Scenario Setup: Jessica described a scenario where Major Matthews needs to find T5 investigations expiring in the next 90 days, emphasizing the need to understand which tables (Security Files or Investigations) and fields (Investigation Type, Reinvestigation Due Date) are relevant.
- Table and Field Selection: Attendees were shown how to select the appropriate table and fields, with a reminder that field names in forms may differ from those in lookups or filters, and that security roles affect data visibility.
- Filtering and Grouping Logic: Jessica explained how to apply filters for active records, specific investigation types, and date ranges, and discussed the use of AND/OR logic for grouping search criteria to refine results.
- Editing and Saving Views: The process for editing columns to display relevant data, saving personal views, and distinguishing between personal and system views was demonstrated, including how saved views update automatically as data changes.

-
Sharing and Managing Views: Jessica outlined the steps for sharing saved views with other users or teams, assigning permissions, and managing view access, using examples involving Barry and other team members.
- Sharing Views: Jessica showed how to share a saved view by selecting users or teams, such as Barry, and assigning permissions like read, write, delete, assign, and share, noting that changes by others do not affect the original owner's view.
- Managing Permissions: The importance of granting appropriate permissions was discussed, including allowing or restricting deletion, and the impact on users' ability to manage shared views in their personal view lists.
-
Advanced Find for Training and Workforce Data: Jessica demonstrated how to use Advanced Find to track annual training due dates and projected departures, including pulling data from related tables such as workforce files.
- Training Due Date Searches: Jessica walked through searching for personnel due for specific trainings, such as anti-terrorism, within a set timeframe, emphasizing the need to identify the correct fields and ensure data completeness.
- Using Related Tables: The process for linking related tables, such as pulling projected departure dates from workforce files into training searches, was explained, including how to add and sort columns from related modules.
- Saving and Exporting Results: Jessica showed how to save these views and export results as static or dynamic Excel worksheets or pivot tables for further analysis or sharing.

-
Reporting and Importing Data with Advanced Find: Jessica covered lesser-known features of Advanced Find, including creating reports for HR needs, exporting data, and importing records using templates.
- Creating Reports: Jessica demonstrated how to use the report wizard to build custom reports, such as tracking billet vacancies over the next six months, by selecting relevant tables, defining filters, and choosing columns and groupings.
- Exporting Data: The session included instructions on exporting search results and reports in various formats, including Excel spreadsheets and pivot tables, for distribution or further analysis.
- Importing Data: Jessica briefly showed how to import data into Defense Ready using templates, mapping fields, and handling unmapped or required fields, with status updates available in the imports folder.

-
Best Practices and Future Webinars: Jessica concluded with a recap of best practices for using Advanced Find and announced upcoming webinars, including a session on AI chat bots, encouraging attendees to participate in surveys for future topics.
- Best Practices Recap: Jessica summarized key points: understanding questions, data structure, AND/OR logic, related tables, saving/sharing views, and using Advanced Find for imports and exports.
- Upcoming Webinars: Attendees were informed about a November webinar on AI chat bots and encouraged to complete surveys to guide future training topics, with Alyssa scheduled to demo new features.

- Future Webinar Participation and Feedback: Send a survey to all participants to gather input on topics for future webinars and encourage completion to inform upcoming sessions. (Jessica)
